THE GIST

what we're looking for

This person’s primary responsibility is to manage projects through the agency, ensuring projects deliver on the brief, stay on schedule and are within the allocated time and budget estimate. This team member is fundamental to the project success as they are the conduit for work to happen. Not only do they lead clients in day-to-day work, they work with a cross-functional team of creators including designers, copywriters, content creator and digital specialists. This person must be able to communicate effectively with various internal and external personalities with grace and empathy all while having a bias for forward progress. They also must be able to stay cool under pressure and be skilled at adding a little levity when things get hot.

Responsibilities

  • Daily management of project management (Notion), including managing briefs, copy, assets, timelines, deliverables, and meeting notes.
  • Developing schedules for each project, considering team capacity and client requirements, and keeping timelines up to date.
  • Trafficking projects through the agency, ensuring documentation is solid and the team knows the status of each project.
  • Development of project briefs and scopes of work to document the project assignment, objectives, strategies and tactics.
  • Conducting secondary research to develop insights to inspire creative briefs.
  • Collaborating with Account Director on creative briefs to develop a strong strategy for the creative & planning team.
  • Developing project estimates and routing to stakeholders for review & approval.
  • Building emails in the client’s email service provider, testing, proofreading and checking the links in the emails.
  • Building new web pages in the client’s content management system, testing, proofreading and checking that all meta data is included.
  • Working with the team to develop content themes and calendars for multi-channel communication. Posting on social channels will be required, as needed.
  • Sourcing and management of production, working with vendors, providing tactic specs and developing estimates, in collaboration with the team.
  • Professional, clear and friendly client communication. Constantly keeping the client aware of project status and ensuring accurate documentation is provided throughout the process.
  • Ability to engage impactfully with clients in virtual or live meetings with strong verbal communication skills.
  • Successfully lead client meetings and presentations with confidence.
  • Ability to anticipate client needs and the needs of the team to ensure the team is prepared for each step in the project and the client feels cared for.
  • Manage junior employees including interns and Assistant Account Executives, ensuring they are contributing meaningful to the work and learning new things.

qualifications:

  • BA, BS or MBA degree with emphasis in Marketing Communications, or related field; or equivalent combination of education and work experience.
  • 4-6 years of experience in marketing & advertising.
  • Excellent written/verbal communication and time management skills.
  • A basic understanding of Web technology platforms
  • Understanding of strategic marketing principles and hands on experience executing holistic marketing plans.
  • Experience managing multiple projects.
  • Must be self-motivated and a lover of learning.
